Privacy policy

1. Who we are
Keep Digital Human ("KDH") is operated by Manicgrin Media Ltd, a company registered in England and Wales (company number 8127947). We are the data controller for the personal data we process through this service.
For any data protection queries, please use our contact form or email keepdigitalhuman@gmail.com.
2. What we collect
We collect and process the following categories of data:
Account information
When you create an account, we receive your email address and display name via our authentication provider (Clerk). This is necessary to identify you as a registered user.
Registration metadata
When you register a work, we store the SHA-256 cryptographic hash (fingerprint) of your content, along with a title, content type, word count, and the date and time of registration.
What we do NOT store
We never store your original content. Your text, images, audio, or video files are hashed entirely within your browser using the Web Crypto API. The original content never leaves your device and is never transmitted to our servers. We store only the resulting hash — a one-way fingerprint from which the original content cannot be reconstructed.
Usage data
We use Google Analytics (measurement ID: G-H85PY50GLV) to understand how people use the site. This collects anonymised data such as pages visited, time on site, and general geographic region. Google Analytics uses cookies to distinguish unique users.
Contact form submissions
If you contact us via the website, we store your name, email address, and message so that we can respond to your enquiry.
3. How we use your data
We use your personal data for the following purposes:
- Providing the service — to authenticate you, store your registration records, and generate verification certificates
- AI content monitoring — if you opt in, we use a short snippet of your content (provided by you) to probe third-party AI systems for potential use of your work
- Notifications — to alert you when someone looks up a hash matching one of your registrations
- Analytics — to understand usage patterns and improve the service
- Communication — to respond to your enquiries and notify you of material changes to the service or these policies
4. Legal basis for processing
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we process your data on the following bases:
- Contract — processing necessary to provide you with the KDH service you have signed up for
- Legitimate interests — analytics to improve the service, security monitoring, and fraud prevention
- Consent — where you opt in to AI content monitoring or contact us voluntarily
5. Third-party processors
We use the following third-party services to operate KDH. Each processes data on our behalf:
| Service | Purpose | Data shared |
|---|---|---|
| Clerk | Authentication | Email, display name |
| Supabase | Database and file storage | Registration metadata, thumbnails |
| Vercel | Hosting and deployment | Server logs, IP addresses |
| Google Analytics | Website analytics | Anonymised usage data, cookies |
| AI providers (OpenAI, Anthropic, Google) | Content monitoring (opt-in only) | Content snippets for probe queries |
6. Cookies
We use the following cookies:
- Essential cookies — set by Clerk to manage your authentication session. These are strictly necessary and cannot be disabled.
- Analytics cookies — set by Google Analytics to distinguish unique visitors and understand usage patterns.
We do not use advertising cookies or share data with advertisers.
7. Data retention
- Registration records — kept indefinitely, as the purpose of the service is to maintain a permanent record of when content was registered
- Account data — kept for as long as your account is active, and deleted upon request
- Contact form messages — kept for up to 2 years after your enquiry is resolved
- Analytics data— retained according to Google's standard retention periods (14 months)
8. Your rights
Under the UK GDPR, you have the following rights regarding your personal data:
- Access — request a copy of the data we hold about you
- Rectification — ask us to correct inaccurate data
- Erasure — ask us to delete your personal data (note: this may not apply to registration hashes, which are not personal data)
- Portability — receive your data in a structured, machine-readable format
- Objection — object to processing based on legitimate interests
- Restriction — ask us to restrict processing in certain circumstances
To exercise any of these rights, please contact us or email keepdigitalhuman@gmail.com. We will respond within 30 days.
If you are not satisfied with our response, you have the right to complain to the Information Commissioner's Office (ICO).
9. International transfers
Some of our third-party processors (Clerk, Supabase, Vercel, Google) may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or equivalent protections, in compliance with UK data protection law.
10. Children
KDH is not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
11. Changes to this policy
We may update this privacy policy from time to time. Material changes will be communicated to registered users via email. Continued use of the service after changes constitutes acceptance of the updated policy.
